Privacy Policy

We, Sartorius BIA Separations d.o.o., Mirce 21, 5270 Ajdovščina, identification number 1319612000, as the organiser of Monolith Summer Symposium 2024 (hereinafter referred to as “’MSS2024 Event’”) respect your right to privacy and strive for the highest level of protection for your personal data. When organising the ‘MSS2024 Event’, we are committed to acting in accordance with the laws and regulations governing the protection of personal data, in particular the Personal Data Protection Act in force from time to time and the EU General Data Protection Regulation. The purpose of this Privacy Policy is to inform you about the purposes for which your personal data will be collected and how it will be used, what your rights are in relation to the data we process about you and how to exercise them.

We undertake that the personal data collected and provided to us in the context of the ’MSS2024 Event’ will be used in accordance with this Privacy Policy and that we will not sell, lend or otherwise disclose your personal data to third parties, except as required by law.

We will do everything in our power to protect your personal data from any breach and misuse. All topics and content that will be discussed in relation to the protection of your personal data are subject to strict confidentiality.

1. Data controller

The controller of your personal data is Sartorius BIA Separations d.o.o., Mirce 21, 5270 Ajdovščina, identification number 1319612000 (hereinafter referred to as “Controller”).

2. Personal data

Personal data is any information that identifies you as an identified or identifiable individual. An individual is identifiable when he or she can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier, or by reference to one or more factors specific to the individual’s physical, physiological, genetic, mental, economic, cultural or social identity.

Depending on the circumstances of each particular case, we may collect and process the following personal data about you:
– Contact details: email address, phone number;
– Identification data such as: first name, last name, address, organisation;
– Photographs and videos taken at the ‘MSS2024 Event’.

Certain data is also exchanged between your device and our server when you visit the website and when you use the online event registration form.

What data we collect and for what purposes is set out in more detail below under the heading “Purposes of processing personal data”.

3. Purposes of processing personal data

All personal data provided to us by you will be treated confidentially and will only be used for the purposes for which it was provided. If there is a need to further process your data for another purpose, we will contact you in advance and ask for your consent.

When visiting our website

Each time you visit the website of the ‘MSS2024 Event’, certain information about your visit is collected on the hosting web server. This information includes the IP number, the time of the visit, the content of the request (specific page), the HTTP access status/status code, the amount of data downloaded each time, the referrer URL, the browser. We process the (personal) data collected in this way using cookies, whereby we will ask for your consent before installing optional cookies, while certain other data may already be collected on the basis of our legitimate interests.

The legal basis for the processing of the above-mentioned data is your consent (Article 6(1)(f) of the GDPR) and our legitimate interest (Article 6(1)(f) of the GDPR), namely to ensure network and information security, i.e. to enable the detection and prevention of unauthorised access that may compromise the availability, integrity and confidentiality of stored or transmitted personal data and the security of the related services accessible through these networks and systems.

The retention period for the personal data thus collected is limited to the purpose for which the aforementioned data are collected.

The data thus collected is processed separately and is not combined with other personal data of website users. It is not possible to uniquely identify the visitor using this data alone according to the state of art.

Registration for the ‘MSS2024 Event’

You can register your participation by submitting an Event registration form via our website (https://www.mss-events.com/online-registration/). We require your personal data to register you for the ‘MSS2024 Event’.

For this purpose, the controller collects the following categories of personal data:
– First Name and Last Name
– Address
– Email address
– Organisation/Company
– Payment details (e.g., details of the payer, payment method, tax status (if applicable))

We process these data for the purposes of concluding and performing the contract. The controller processes personal data in the context of the contractual relationship for the conclusion, modification and termination of the contract, invoicing for payment of the registration fee, to provide you information about the event, possible cancellations and for other communications with you. Furthermore, we process your data and the data of other participants for the purpose of organising the ‘MSS2024 Event’ (e.g. for general administrative matters related to the organisation of the event).

The legal basis for the processing of the above-mentioned data is: performance of the contract (6(1)(b) of the GDPR) and legitimate interests (6(1)(f) of the GDPR), namely organisation of the event.

The retention period for the personal data thus collected is determined by the duration of the contractual relationship – the performance of the contract (30 days after the event). After the performance of the contract, certain personal data may be further processed if there is another legal basis for doing so (e.g. a legitimate interest to assert or defend legal claims or a legal obligation, to carry out internal analyses of the event’s performance, etc.). In this case, the data will be retained for a maximum of 5 years after the performance of the contract.

The consequences of failure to provide certain data
The provision of the above personal data (except for company/organisation details) is necessary for the purpose of concluding the contract (registering for the ‘MSS2024 Event’) and for the performance of the contractual relationship. If you refuse to provide the aforementioned data, the controller cannot conclude a contract with you and you will not be able to register for the ‘MSS2024 Event’.

Audio and Video Recording

– Participants

Photographs and/or videos of the participants may be taken during course of the MSS2024 Event. Photos and videos can be published on the ‘MSS2024 Event’ website, in the Sartorius BIA Separations’ monthly newsletters and in its Announcements (the brochure) for the purpose of promoting the following events and the organiser.
The legal basis for the processing of the above-mentioned data is: consent (Article 6(1)(a) of the GDPR).

The data subject shall have the right to withdraw the consent at any time. In this case, the personal data shall cease to be processed and, if there is no other legal basis for their use or retention, shall be deleted without undue delay. Withdrawal of consent shall not affect the lawfulness of processing carried out prior to the withdrawal of consent. Personal data shall be processed for the duration of the consent given by the data subject, i.e. until the data subject withdraws the consent.

With regard to the withdrawal of consent, please note that, although the photographs and videos have been removed from the controller’s websites, the controller cannot guarantee that they will be deleted them from the Internet. In the case of printed editions, consent can no longer be withdrawn once the edition has been published.

– Lecturers

If you are a lecturer at the ‘MSS2024 Event’, your lecture will be video-recorded and livestreamed. Recording and live streaming is necessary for the performance of the contract by which you undertook to attend the event as a lecturer, as the event is of a hybrid nature (i.e. it takes place live and via livestream). The videos will be available on the online platform for live streaming, provided by Confiva Global d.o.o. (“the platform”), for 30 days after the ‘MSS2024 Event’.

The legal basis for the processing of the above-mentioned data is: performance of a contract (Article 6(1)(b) of the GDPR).

4. Recipients or categories of recipients of the personal data

Your personal data may be shared with the following recipients or categories of recipients of the personal data:
– information technology service providers in the context of the provision of services for the use of an online platform for live streaming (e.g., Confiva Global d.o.o.),
– software and website service and maintenance providers,
– providers of banking and payment services,
– accounting services provider.

We undertake not to disclose your personal data to unauthorised third parties without your consent, unless otherwise required by applicable law. The processors may process the entrusted data only on our behalf and within the limits of our authorisation (in a written contract or other legal act).

We undertake that neither we nor other recipients of personal data and contract processors will transfer or transmit your personal data to a third country outside the European Union and/or the European Economic Area or to an international organisation without an adequate level of protection.

5. Retention Period

The retention period for personal data is based on each individual type of personal data or in relation to the purposes set out above. In the event of an incident, the data may be retained for the duration of the statute of limitations.

6. Your rights

We ensure can exercise all your rights to which you are entitled in relation to the processing of your personal data under the applicable legal provisions.

You have the following rights with regard to the protection of your personal data:
– the right of access (i.e. to inspect, copy and reproduce),
– the right to information,
– the right to rectification of incomplete and inadequate data,
– the right to erasure (right to be forgotten),
– the right to restriction of processing,
– the right to object on grounds relating to your particular situation. You may object at any time to the processing of your personal data based on our legitimate interests or the legitimate interests of a third party. If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing is for the establishment, exercise or defence of legal claims,
– the right to data portability,
– the right to withdraw consent: you may withdraw your consent at any time without affecting the lawfulness of the processing carried out on the basis of your consent until its withdrawal.

Which rights you are entitled to depends on the circumstances of the specific processing of your data, so you may not necessarily be entitled to all of the above rights in a particular case.

7. Information on the right to lodge a complaint with the supervisory authority

8. Additional information

Our information systems and those of our contractual processors are protected by technical and organisational measures against accidental or unlawful access, alteration, disclosure or dissemination of your personal data by unauthorised persons and against accidental or unlawful loss and destruction of personal data.

We do not carry out automated decision-making, including profiling, on the basis of the personal data provided.

We will process your enquiry without undue delay and free of charge, in accordance with the legal requirements, and let you know what action we have taken.

If your personal data changes (e.g. identification data, contact details), please inform us of the changes.

We may adapt the information provided to the actual situation and to the legislation on the protection of personal data, if necessary.
